BACKGROUND:                                          

On March 17, 2021, the Commission approved multiple award of Bid No. 2021-001 - Supply and Deliver Aftermarket Vehicle Parts and Accessories to two firms.  During the five-year contract period, one of the firms was not offered a renewal option due to performance issues, leaving Parts Authority, LLC d/b/a IMS as the sole remaining awardee. 

 

A new rebid solicitation for supply and delivery of aftermarket vehicle parts has been drafted and is currently in the process of Staff reviews and approvals.  In the meantime, due to the reduced amount of time until the expiration of the existing agreement, a special extension not to exceed a 60-days period is recommended to ensure continued supply and delivery of these critical parts during the bid release, open bidding, and award processes.  However, it is anticipated that the full 60-days extension will not be exhausted before award of a new solicitation is made. 

 

RECOMMENDATION:                     Approve the special extension

 

 

FISCAL IMPACT:                     Acquisition of parts will continue to be funded from multiple City accounts as budgeted
