RESOLUTION - APPROVING THE SOLE SOURCE PURCHASE OF REPLACEMENT PARTS FOR THE TELEMETRY SYSTEM FROM DATA FLOW SYSTEMS IN AN AMOUNT NOT TO EXCEED $25,000.00 FOR THE DEPARTMENT OF ENVIRONMENTAL AND ENGINEERING SERVICES; PROVIDING FOR SHIPPING.
BACKGROUND: Attached is a unit price proposal and sole source letter from Data Flow Systems for the purchase of replacement parts for DEES lift stations telemetry system. The telemetry system is used to monitor and control lift stations remotely from a central station located at the wastewater plant. The replacement parts requested include electronic control and radio boards that are integral to the operation of the telemetry system, and are replenished every year in stock prior to the hurricane season.
The total cost for the parts is $23,693.00. Please see attached cost breakdown. The total amount for approval has been rounded up to $25,000.00, to cover shipping charges which will be invoiced at the time of shipment.
The total amount of the order exceeds the formal bid amount threshold, therefore, staff is requesting approval to waive bidding and award the sole source purchase to Data Flow Systems, in an amount not to exceed $25,000.00.
RECOMMENDATION: Award sole source purchase to Data Flow Systems
