BACKGROUND:

In 2015 the City solicited bids for Bid No. 2015-015 - Aggregates, Top Soils and Sand (Co-Op Bid).  Subsequent awards were made under Resolution No. 15-074 on August 19, 2015 to Austin Tupler Trucking, Inc., Soil Tech Distributors, Inc., and Florida Superior Sand, Inc. for an initial period of one year with two additional one year renewal options.

The Purchasing division has been notified that only two of the three awarded firms are willing to hold their pricing for the first renewal period.  Austin Tupler Trucking, Inc. has declined to hold their bid pricing for the renewal period and therefore their awarded items are being recommended for a restructured multiple award to the two other firms based on originally submitted bid pricing as shown on the attached spreadsheet.  All other terms, conditions and specifications will remain unchanged.

RECOMMENDATION:

Approve restructured award of Bid No. 2015-015

FISCAL IMPACT:

Approximately $75,000 spent on an annual basis which is budgeted in multiple departmental accounts.
