RESOLUTION - UPGRADE OF MICROSOFT LICENSING.

BACKGROUND:                     The City’s current licensing for Windows Server and client license is under the 2012 version.  Our last refresh for licensing was 2011 for Office and 2013 for servers and clients.  As part of our network infrastructure upgrade for fiscal year 2016-17 we need to upgrade to version 2016.

Support and security updates will expire for Office 2010 in 2020 and is currently no longer available for sale.  Although the versions are compatible, we now have a mix of 2016 and 2010 in our infrastructure and wish to place everyone on the same platform for support and inter-exchange of file information.

The upgrade to the server licenses also includes client licensing for 425 users.  This upgrade will place us with the latest version of all Microsoft Product licensing.  All of these licenses are perpetual and are at a one-time cost.  As shown in the past, we anticipate a life cycle of 5 years for these products.  At a total cost of $103,076.98 for 425 users over 5 years comes out to $48 per year, per user, for our office environment which is used extensively on a daily basis.

 

The software is available through the GSA Contract GS-35F-0195 at a cost of $109,596.60.  CDW-G has offered a special incentive discount for a final cost of $103,076.98.
