BACKGROUND:

The City currently contracts with two firms for disaster debris management services.  The agreements with those firms are scheduled to expire on June 18, 2018.  Staff has released a new formal Request for Proposals (RFP) No. 2018-016 for these services and anticipates evaluating and ranking the responses to that RFP within the next few weeks. 

 

In an effort to ensure availability of debris management services at the current contract rates during the evaluation and award period for the new RFP, staff recommends an extension of the City’s agreement with one of the currently contracted firms; Grubbs Emergency Management Services, LLC, for a period of three months from the current contract’s sunset date.  If approved, the extension shall expire September 18, 2018 or upon the award of RFP 2018-016; whichever occurs first.

 

RECOMMENDATION:  Approve the contract extension

 

 

FISCAL IMPACT:  None.  Expenses shall be incurred only in the event of a disaster requiring debris management services.  In such case, funds are allocated in the emergency preparedness contingency fund.
