BACKGROUND:                                          

The City currently contracts with Thompson Consulting Services, LLC for disaster debris monitoring services.  That agreement is scheduled to expire on September 18, 2018.  A new formal Request for Proposals (RFP) No. 2018-018 for these services with a current submission deadline of August 23, 2018 has already been released.  Staff anticipates evaluating and ranking any responses to that RFP within the next month. 

 

To ensure availability of debris monitoring services pending the receipt and evaluation of the new RFP responses, and through the award process, staff recommends an extension of the City’s agreement with Thompson Consulting Services, LLC for a period of three months from the current contract’s sunset date.  All terms, conditions, and specifications of RFP 2013-005 awarded by resolution 12-386 and amended by resolution 17-156 shall remain in effect.  If approved, the extension shall expire on December 17, 2018 or upon the award of the new RFP 2018-018; whichever occurs first.

 

 

RECOMMENDATION:  Approve the contract extension

                     

 

 

FISCAL IMPACT:  None.  Expenses shall be incurred only in the event of a disaster requiring debris monitoring services.  In such case, funds are allocated in the emergency preparedness contingency fund.
